Who operates Retro Logik
Retro Logik is a workforce and field operations application operated by TMM Renewables and Construction Limited (“TMM”), connected to TMM OS.
It is intended for authorised employees, contractors and other approved users. A valid authorised TMM account is required. Available information and actions depend on the user’s permissions and assigned work.

Please do not send passwords, authentication codes or unnecessary sensitive documents.
Information we process
Depending on the functions used, permissions and assigned work, Retro Logik processes:
- Names, email addresses, account identifiers, work roles, permissions and authentication/security information.
- Assigned jobs, work packages, schedules and customer/property information needed to carry out authorised work.
- Evidence photographs and videos, including sound recorded with video; documents and certificates; measurements, notes and structured work responses.
- Evidence capture times and location metadata where captured.
- Customer/client and operative signatures, signer names, acknowledgement wording and the version of the form signed.
- Staff-profile information, including personal phone numbers, addresses and manually entered emergency-contact names, relationships and phone numbers.
- Qualification submissions, leave requests and staff/management messages, including support requests, subjects, replies and account attribution.
- Safety reports and attachments, including information supplied about people involved, witnesses, injuries or health, damage and actions taken.
- Vehicle declarations/checks, tools and assets, custody actions, condition photographs and damage/loss reports.
- Operational audit history and in-app notification acknowledgements or read/open/archive events.
- Limited technical request and diagnostic information used to operate and troubleshoot the service, including application version, request references, timing, status and attributed error information.
- Authorised information and pending submissions stored on the device for offline use and later synchronisation.
Information comes from users’ submissions, authorised TMM office users administering accounts and work, and relevant customers or clients. Emergency-contact, witness and work information may concern other people. Users should provide only information necessary for the task.
How information is used
Information is used to:
- Authenticate authorised users and enforce access controls.
- Display assigned work and relevant documents.
- Capture, synchronise and retain evidence and signed forms.
- Fulfil operational, contractual, customer and project requirements.
- Support quality assurance, compliance and health and safety.
- Manage staff requests and operational communications.
- Manage authorised vehicle, tool and asset activities.
- Maintain work history, attribution and audit records.
- Protect the service, provide support and investigate technical problems.
Lawful basis for processing
Depending on the type of information and the purpose for which it is used, TMM Renewables and Construction Limited may process personal information where it is necessary:
- For the performance of a contract
- To comply with legal or regulatory obligations
- For our legitimate business interests, provided those interests do not override the rights and freedoms of individuals
- Where another lawful basis under UK data protection law applies
Where consent is specifically required, it will be obtained separately.
Photographs, videos, documents and signatures
Authorised users can capture or upload information required to evidence work and complete permitted staff, safety, vehicle or asset activities.
Video evidence can include sound where microphone access is used.
Signatures acknowledge or confirm the displayed information or form. Retro Logik does not use signatures for biometric identification or authentication.
Relevant evidence and signed documents may be included in authorised project reports or exports. Accepted forms retain their associated wording, version and historical attribution. Standard evidence packs do not separately export raw customer and operative signature images, although signed PDFs can contain signatures.
Optional Photos backups
Where the user grants the relevant permission and chooses the backup option, captured photo evidence can also be saved in the device’s Photos library.
These copies are separate from the app’s encrypted account database and company-held evidence records. They may be handled by the device’s photo-sync settings. App work-cache cleanup does not remove copies from Photos.
Location and navigation
With the relevant permission, a current precise location can be recorded with captured evidence. Location acquisition operates while the evidence camera function is active and stops when that function closes or the app backgrounds.
If precise location is unavailable, the app records that limitation rather than treating an old or approximate fix as a current precise location.
Navigate passes the selected job destination to Apple Maps, Google Maps or Waze. This function does not continuously track employee journeys or record navigation routes in Retro Logik.
The selected mapping application handles navigation under its own privacy practices and terms.
Device permissions
Camera, microphone, selected Photos/files and foreground location permissions support the relevant capture, upload, backup and evidence functions.
Users can manage permissions through their device settings. Restricting a permission may limit the function that requires it.
Retro Logik does not access the device address book to populate emergency contacts; those details are manually entered.
Offline use and synchronisation
Retro Logik stores authorised work information and pending submissions on the device so work can continue without reliable connectivity.
The local account database is encrypted, with its key protected by operating-system secure storage. Pending submissions can survive sign-out so unsent work is not silently lost.
Downloaded or captured files and optional Photos backups are stored separately; device and Photos safeguards also matter.
Eligible synced media in the app’s local cache may be cleaned up after the server confirms completion. This does not delete accepted server records, all local account information or Photos copies.
Do not uninstall the app while submissions are still pending.
Who can receive information
Information can be accessed by authorised TMM personnel within their permissions and operational responsibilities.
Relevant evidence and reports can be provided to customers or clients where required for the work or an authorised project export. Access to a project does not automatically provide access to all internal staff or company records.
Service providers process information needed for authentication, application hosting, data/file storage, backup and technical support. Verified technical services include Amazon Web Services Cognito for authentication and Railway for the TMM production application/API hosting.
Information may also be provided to professional advisers, regulators or other authorities where legally required or necessary for an applicable legal matter.
External mapping applications receive the chosen destination when a user opens navigation. They operate under their own privacy practices.
International data transfers
Some service providers used to operate or support Retro Logik may process information outside the United Kingdom.
Where personal information is transferred internationally, appropriate safeguards will be used where required by UK data protection law.
Advertising, tracking and diagnostics
Retro Logik is not advertising-supported. It does not use personal information for third-party advertising or cross-app advertising tracking.
The reviewed application has no identified advertising SDK, advertising/device identifier collection, native push-token registration or mobile crash-upload service.
The app’s Alerts feature is an in-app inbox. It retains relevant notification acknowledgement/read/open/archive events.
TMM’s backend retains limited technical request and attributed fault information for operation and troubleshooting. Apple or TestFlight diagnostics are separate from an app-operated crash-upload service.
Retention and deletion
Information is retained for as long as necessary for its operational, contractual, legal, compliance, audit and security purposes, subject to TMM’s applicable retention requirements.
Different record types may require different retention periods. Accepted evidence, completed work and signed forms preserve historical versions and attribution.
Leaving TMM, removing app access, signing out or uninstalling the app does not automatically erase accepted company-held records.
Contact TMM about a specific record’s retention, correction or deletion.
Security
TMM uses authenticated access, permission and assignment controls, encrypted communications, protected local account storage and audit records to restrict access to information.
No system can guarantee absolute security. Users should protect their devices and keep passwords and authentication codes private.
Your rights
Under applicable UK data-protection law, individuals may have rights to access their personal information, correct inaccurate information, request erasure, restrict processing, object to processing or receive portable information where applicable.
These rights depend on the processing and may be subject to applicable exemptions or limitations. TMM may need to verify identity and protect information about other people when responding.

Changes to this policy
TMM may update this policy when application functions or processing arrangements change. The “Last updated” date identifies the current published version.
